Templates and examples of budgets and invoices.

The budget offers a guide of costs to consider when putting on an event as an emerging promoter (please note the venue hire fee would be greater for Cambridge Junction, however venues like MASH offer a smaller fee of approx. £500 as they can operate as a club post event).

For invoices, always include:

  • Header: Clearly label the document as “Invoice”, plus the name of the event/project. E.g, “Next Wave Invoice”.
  • Unique Invoice Number: Every invoice you send must have a unique/different number.
  • Your Details: Your full name, address, email, and phone number.
  • Client/Organisation Details: Name and address.
  • Dates: The date of issue (when the invoice is sent) and the date of supply (when the services were provided).
  • Itemised Description: A clear, detailed list of services provided, including prices. E.g, 15/01/26 Next Wave performance fee = £50
  • Amount Due: The subtotal – final total amount payable.
  • Payment Terms & Method: Clearly stated due date (e.g, Payment due within 30 days of invoice), and bank details (Account Name, Sort Code/Account Number).

Export your invoice to a PDF before sending to the client/organisation.
